Requesting Space

Current ºÚÁÏ³Ô¹Ï Students, Faculty and Staff

Special Events and Scheduling is excited to announce the launch of the ºÚÁÏ³Ô¹Ï Space Request System, powered by Accruent EMS Web App. The self-service system lets students, faculty and staff create requests for use of campus space for meetings, events and gatherings, and in some cases, receive immediate confirmation for use of a space. This powerful tool also allows users to browse through different dates and locations to see what is going on across campus.

All space requests must be submitted through the ºÚÁÏ³Ô¹Ï Space Request System. 

Academic classes are synchronized with Banner on an hourly automated schedule. If you need to make a change to an academic class, please contact the ºÚÁÏ³Ô¹Ï Registrar at registrar@usi.edu

ºÚÁϳԹÏ’s Space Request System makes campus event scheduling more efficient and accessible for everyone. 

External Organizations and Community Members

The ºÚÁÏ³Ô¹Ï recognizes its obligation as a public institution to provide services and facilities to community, regional and other non-University groups or individuals. Within a specified timeframe, groups or individuals not affiliated with the University are welcome to reserve indoor or outdoor campus facilities not previously reserved by a group within the University community.

Please email usispecialevents@usi.edu to connect with an event coordinator. Plan to provide the following information, along with your date and time preferences, anticipated attendance, and a short description of the event you plan on hosting: 

  • Full Business or Individual Name
  • Mailing and Billing Address(es)
  • Contact Email
  • Contact Phone Number
  • Non-profit/government agency status (if applicable)

When you receive a reservation confirmation, please review it thoroughly. Communicate any specific needs or changes with the event coordinator directly, including facility setup, audio-visual elements, parking, additional personnel needs, etc. 

Event Planning Timeline

  • Event requests may be submitted as far out as the ºÚÁÏ³Ô¹Ï Academic Calendar is published but may not necessarily be confirmed right away.
  • Requests requiring a facility agreement will not be contracted more than 365 days in advance.
  • Requests for academic space may be bumped within the first 14 days of each academic term, as academic classes have priority over space.
  • Requests for athletic space will not be confirmed until the final game/match schedule for the season is published.
  • orders must be submitted at least 14 days prior to your event, otherwise late fees will apply. 
  • The final catering guarantee and any dietary accommodations are due 7 days prior to your event.
  • Review all event orders provided by your event coordinator and communicate any changes within 5 days of your event. Additions and/or changes received less than 5 days prior to an event may not be accommodated.

If your event will be held in the University Center, Performance Center or Griffin Center, our event support team and/or your event coordinator will be on-site to assist you.
